Organize Your Data Efficiently Using Sort & Filter

Learn how to use Sort & Filter in Microsoft Excel to find and organize data in large databases.

Sorting Data

Two methods exist for Sorting Data:

a) HOME >> Editing group >> Sort & Filter

b) DATA >> Sort & Filter group >> Sort

  1. Custom Sort
    • Choose a column and the specific criteria in which to sort the data
      • Values, Cell Color, Font Color, or Cell Icon
  2. Multi-level Sort
    • Perform a Custom Sort, then select "Add a Level" to add secondary sorting criteria

Filtering Data

Two methods exist for Filtering Data:

a) HOME >> Editing group >> Sort & Filter >> Filter

b) DATA >> Sort & Filter group >> Filter

  1. Number Filter
    • Apply a specialized number filter to value data
  2. Date Filter
    • Apply a specialized date filter to date data
  3. Subtotals
    • The Subtotal command can calculate totals for sorted or grouped data
    • DATA >> Outline group >> Subtotal
